Getting started with Seal is straightforward. Our dedicated consulting team handles implementation end-to-end—whether you’re digitizing paper-based processes, replacing spreadsheets, or migrating from an existing platform. You focus on validation and sign-off; we handle the technical work. We’ve successfully migrated customers from most major scientific platforms including LIMS, ELN, QMS, and document management systems, as well as from paper-based and offline solutions. Our team has deep experience with the data structures, export formats, and compliance requirements specific to life sciences.

How long does it take?

It depends on what you need. A single workflow can be live and validated in as little as 24 hours. Most customers see initial value within a week. Full implementations with multiple workflows, integrations, and training typically take 2–6 weeks. Complex multi-system migrations can extend to around 8 weeks. Every engagement starts with a consultation where we assess your existing workflows, compliance requirements, and goals. From there, we’ll give you an accurate timeline.

What we need from you

To get started, we’ll need access to your current processes—either through read-only system access or exported data (CSV, Excel, database dumps). If you’re integrating with existing systems, we’ll ask for API documentation and credentials. We’ll also want to understand how you work today: SOPs, workflow diagrams, or simply a walkthrough with your team. Before receiving any data, we sign NDAs and data processing agreements. All credentials are handled securely and revoked once the engagement is complete.

New implementations

If you’re configuring Seal for new processes, our consulting team works with you through four phases. Requirements gathering takes one to two weeks. We run workshop sessions with your team to understand your workflows, document process flows and approval chains, and identify any integrations needed (ERP, LIMS, etc.). This produces a functional requirements document. Platform configuration is where we build your system. We configure entity types, templates, and fields; set up review requirements and approval workflows; configure user roles and permissions; and build any required integrations or automations. Throughout this phase, you’ll review configurations iteratively and provide feedback. Validation follows your qualification approach. We execute Installation Qualification and Operational Qualification, your team performs Performance Qualification or UAT, and all test evidence is captured in Seal’s validation module. You’ll receive a complete validation documentation package. Training and go-live prepares your team. We run end-user training sessions (recorded for future reference), provide admin training for your Seal administrators, and offer go-live support during the initial rollout.

Migrations from existing systems

If you’re moving from an existing platform or offline system, the process includes additional steps for data transfer. Discovery and scoping comes first. Over one to two weeks, we assess your current system architecture, identify what data needs to migrate (records, documents, audit trails), define the mapping between your old system and Seal, and agree on what historical data to bring over versus archive separately. You’ll receive a migration scope document with data mapping and timeline. Data extraction and transformation follows. We extract data via API, database export, or file export, then transform it to match Seal’s structure. We handle edge cases, duplicates, and data quality issues, preserving audit trail history where required. Your role here is to provide access, answer clarifying questions, and review sample data. Validation and UAT ensures everything transferred correctly. We load data into your Seal staging environment and run automated validation checks—record counts, data integrity, referential links. Your team then performs User Acceptance Testing against test scripts, and we document and resolve any discrepancies. This phase concludes with a signed UAT report confirming data accuracy. Go-live and cutover is typically a matter of hours. We schedule a cutover window, perform a final data sync for any records created since extraction, switch users to Seal, and help you decommission or archive the old system.

Verification

Every implementation includes rigorous verification. We run automated checks for data integrity—record counts, checksums, referential integrity. Functional testing executes test scripts against your configured workflows. Your team validates that the system meets business requirements through user acceptance testing. For migrations, we also verify that historical audit data transferred correctly. All validation evidence is documented and available for regulatory inspection.

After go-live

You’ll have a dedicated support contact for the first 30 days, with a clear escalation path for any issues. Training materials and documentation remain accessible, and your customer success manager provides ongoing support as you scale.
